Working With Roles

Roles exist to be associated to every participant of every document

Buy Side

Sell Side

 

Consists of:

  • Buying Agent
  • Buyer(s) and/or Tenant(s)

Buying agent can:

  • edit any documents that have been shared with them
  • only sign areas where the buying agent is supposed to sign
  • send documents to the buyers (his/her clients) and the cooperating agent (the listing agent) … the buying agent can NOT share documents directly with the seller(s)

 

 

Buyers or tenants can:

only sign documents where they are supposed to sign; they cannot edit the documents themselves unless given permission to fill certain fields. These permissions can only be granted by the buying agent

 

 

Consists of:

  • Listing Agent
  • Seller(S) and/or Landlord(s)

Listing agent can:

  • edit any documents that have been shared with them
  • only sign areas where the listing agent is supposed to sign
  • send documents to the listers (his/her clients) and the cooperating agent (the buying agent) … the listing agent can NOT share documents directly with the buyer(s)

 

 

Sellers or landlords can:

only sign documents where they are supposed to sign; they cannot edit the documents themselves unless given permission to fill certain fields. These permissions can only be granted by the listing agent

 

 

There are other less commonly used roles like Broker, Guarantor, Applicant, Assistant, Secondary Buyer, Secondary Landlord, Client, and Prospect. You will see these additional choices when you select a form that uses them.

Roles are defined in the People Tab of any document in the transaction.  The form selected will determine where the role will sign (if applicable) and whether they will be able to edit any document. Use the ‘People’ view to see/enter and define the participants and their roles, including your own.

Using this is a great validation method to ensure the right people are assigned to the right roles in the system.

 

 

 

Assigning Roles

 

Open the form that you would like to view or modify roles for. Select the “People” tab from the options at the top of the page.


A summary of the parties involved in the transaction will be displayed.


 

Some of the parties may already be input by Docs+ automatically from context that the system derives from previous forms or information that you have already provided. Add any additional names as needed or edit existing entries by clicking on them. When finished, click “Back to Document"
