Working With Hot Sheets (New View)

Creating and Using a Hot Sheet with the Widget/New Dashboard

On the Matrix home page is a Hot Sheet widget that allows agents to quickly monitor listing activity. It provides an overview of significant listing events: New Listings, Back on Markets, Expireds, Withdrawns, etc.

To view a Hot Sheet, click the Property Type link on the widget.


The Hot Sheet grid opens.


In this example, the Residential link was selected. Notice that the default view is Hot Sheet. To change the view, click the arrow on the Display drop down and select the view you want.

Just like the Market Watch widget, unless the Hot Sheet is customized, results will return information on the whole database based for the Time Frame selected.

To change the time frame, select the time frame from the drop down. The time frame definitions are:

 

To view the most current changes, click on the drop down and select 24 Hour. For example, to see Price Decreases that occurred yesterday, select 24 Hour. To view what has happened since the last time the Hot Sheet was run today, click This Session.

Setting up a Custom Time Frame

To retrieve more specific information and focus on a specific time period of time, set up a custom time frame.

  1. From the Hot Sheet Widget, click Custom in the drop down at the bottom of the widget.
  2. Click the link to select a Hot Sheet type. The timeframe controls appear.
  3. The following options are available by clicking their respective bubbles:
  • Select a date from which to run by typing it into the date field. (Cannot exceed 30 days in the past.)

OR

  • Select a time range for today. Enter the time for the search to start and end. Leaving the To field blank pulls properties up to the current minute.
  1. Click Run. The Hot Sheet opens.

Creating a Custom Hot Sheet

You can create your own Hot Sheet, name it, save it, and have it appear in your widget. You can have up to 10 Hot Sheets displayed in the widget.

  1. Click on Customize. The Manage Hot Sheets screen opens:

  2. Click Add. The Add Hot Sheet window opens.

  3. Select the type of Hot Sheet from the drop-down list.
  4. Enter a name for your new Hot Sheet.
  5. Click Save. The Manage Hot Sheet window appears with the new Hot Sheet in the list.

  6. Click Edit Criteria. The Hot Sheet Search screen opens:

  7. Enter your search criteria.
  8. Click Save. The Manage Hot Sheets screen appears.
  9. Click Done to return to the Agent Dashboard.
  10. To access the new Hot Sheet, click the name link on the Hot Sheet widget.

Note: The Hot Sheet Widget allows 10 Hot Sheets, so you can add three additional ones. To have more than 10 Hots Sheets, you may delete a Hot Sheet Type you don’t use. You can always restore a deleted Hot Sheet by recreating it, or by using the Restore System Defaults link. Using the Restore System Defaults link will delete any custom Hot Sheets that were created.


Creating and Using a Hot Sheet with the Classic Matrix View

On the Matrix home page is a Hot Sheet widget that allows you quickly monitor listing activity. It shows changes in your market niche. You can customize this widget so that you can see only certain types of new activity based on your business needs. You can create one Hot Sheet for each property type.


1. Click on Customize to personalize your Hot Sheet. The Manage Hot Sheets screen opens:

2. Highlight the sheet you want to change.

3. Click Edit Criteria. The Hot Sheet Search screen opens:

4. Enter your search criteria.

5. Click Save. You are returned to the Manage Hot Sheets screen.

6. Click Done. You are returned to the Agent Dashboard.

7. To access your Hot Sheet, click the name link on the Hot Sheet widget.

The Hot Sheet opens with the results grid screen:

To view the search criteria you used when setting up the Hot Sheet, hover over Other Criteria at top of screen.

Viewing the Most Current Changes

To view the most current changes, click on the drop down and select 24 Hour. For example, if you are looking for Price Decreases, to see what changed yesterday, select 24 Hour. To view what has happened since you last opened the Hot Sheet, click This Session.


Setting up a Custom Time Frame

 1. From the Hot Sheet Widget, click Custom in the drop down.


2. Click the Hot Sheet type you want to set a custom time frame.


3. Do one of the following:

  • Select a date from the calendar
  • Select a time range for today

4. Click Run. The Hot Sheet opens.
